At Relentless Health & Fitness ("we", "us", "our") we are committed to protecting the privacy and security of your personal information. This Privacy Policy explains what we collect, how we use it, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information we collect

  • Personal information. Name, email address, phone number and any other details you provide when you contact us, book a session, or sign up to a membership.
  • Health information. Relevant health, lifestyle and consultation information needed to deliver safe and effective sports massage, personal training and recovery sessions. This is treated as special category data and handled with extra care.
  • Payment information. Payments are processed by trusted third-party providers (such as our booking platform and card processors). We do not store full card details on our systems.
  • Usage data. Information about how you interact with our website, such as IP address, browser type, device and pages visited. See our Cookie Policy for more.

How we use your information and our lawful basis

  • To provide our services (contract): managing bookings, sessions, treatment records, memberships and gym access.
  • To process payments (contract and legal obligation): taking payment for sessions, packs and memberships, and keeping records for accounting.
  • To meet professional duties (legal obligation and legitimate interests): complying with our insurers and professional bodies, including the Federation of Holistic Therapists and the Professional Standards Authority.
  • To improve our services (legitimate interests): understanding how the website is used so we can make it better.
  • To communicate with you (consent or legitimate interests): contacting you about your bookings, and, where you have asked us to, sending occasional updates and offers. You can opt out of marketing at any time.
  • Health information (explicit consent and provision of healthcare): we collect and hold health information only where you have given us permission and where it is necessary to deliver safe treatment.

Sharing your information

We do not sell or trade your personal information. We share it only with trusted service providers that help us run the business, such as our booking platform, payment processors and accounting software, and where we are required to by law. All providers are bound by appropriate data protection terms.

How long we keep your information

Treatment notes are kept for as long as required by our professional bodies and insurers (typically a minimum of 7 years from the date of last treatment, longer for clients under 18). Booking and contact data is kept only while needed to provide our services, and financial records are kept for as long as required by HMRC.

Data security

We take the security of your personal information seriously and use appropriate technical and organisational measures to protect it against unauthorised access, loss, disclosure or alteration.

Your rights

Under UK data protection law, you have the right to:

  • Access the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete your information where there is no good reason for us to keep it.
  • Object to, or ask us to restrict, certain uses of your information.
  • Withdraw consent at any time where we rely on consent to use your information.
  • Ask for a copy of your information in a portable format.

Complaints
